Privacy Policy

How we handle your data. Last updated: 18 October 2026.

1. Overview

Gamecave Bot (“we”) is operated by Legal entity to be confirmed, Address to be confirmed. We use Discord login and store only what we need to run your dashboard and Discord/game bridges. We do not sell personal data.

2. What we collect

  • Discord profile — user ID, username, display name, avatar (from OAuth).
  • Guild list — Discord servers you can manage, so you can pick where to configure the bot.
  • Server settings — channel and role IDs, welcome text, ticket labels, status host/port, whitelist settings, and similar config you save.
  • Secrets you paste — Discord bot tokens and game bridge keys, stored to operate custom branding and game scripts. Treat these as passwords.
  • Whitelist sync data — Discord IDs (and optional Minecraft names/UUIDs) needed for allow/deny checks.
  • Billing data — when you subscribe, Stripe processes payments. We store Stripe customer/subscription identifiers and plan status needed to unlock Pro slots. Card numbers are handled by Stripe, not stored on our servers.
  • Technical logs — short operational logs (for example job results and errors) to keep the bot running.
  • Essential cookies — a session cookie for Discord login and the dashboard. We do not use advertising or third-party tracking cookies.

3. How we use data

To authenticate you, show the dashboard, run the Discord bot (welcome, tickets, roles, status, whitelist), process paid plans via Stripe, and improve reliability. We do not use your data for advertising.

4. Sharing

We share data only with services required to operate the product — notably Discord (login and bot APIs), Stripe (payments), and game/query endpoints you configure. We do not sell data to brokers. See Stripe’s privacy policy for how they process payment data.

5. Cookies

We use essential cookies only (session authentication). Accepting the on-site cookie notice confirms you understand this. You can clear cookies in your browser; you will need to log in again.

6. Retention

Account and configuration data stay while your account is active. Billing records may be kept as required for accounting and fraud prevention. You may request deletion of your account data; we will remove or anonymize it except where we must keep records for security or legal reasons.

7. Security

We use access controls between the site and the bot process, keep operational data off the public website, and never re-show pasted bot tokens in the dashboard. See the Trust & Security page for how we protect customers. No method is perfect — protect your Discord account and never share bot tokens or bridge keys publicly.

8. Your choices

  • Disconnect Discord access via Discord’s authorized applications settings, or use Reconnect Discord in the dashboard to refresh OAuth.
  • Clear custom bot tokens and rotate bridge keys from the dashboard.
  • Manage or cancel a paid plan through Stripe Checkout / billing flows when live.
  • Ask us to delete stored account configuration.

9. Children

The product is aimed at server operators. Do not use it if you are below the age Discord requires for their service in your country.

10. Changes

We may update this policy. The date at the top will change when we do. Continued use means you accept the updated policy.
